What Per-Agent Thinking Hides

Buyers arrive wanting a per-agent number because it is comparable. The trouble is that two quotes for the same number of agents can describe completely different operations: one includes supervision, quality review, training, telephony and reporting; the other is bodies on seats and everything else is yours to build.

So the question worth asking is not what an agent costs but what is inside the seat. Ask who supervises, at what ratio, who reviews quality and how often, who covers absence, who owns the knowledge base, and what happens on the day volume doubles. The cheapest seat is usually the one where the answer to most of those is "you do".

Frequently asked questions

Are the agents employed by you?

Yes. Recruiting, employment, training, supervision and scheduling sit with us, which is what separates this from a staffing arrangement where the people are yours to manage. You keep control of the standard, the escalation rules and what agents are allowed to decide.

What is the minimum I can start with?

Smaller than most buyers expect, and starting small is usually right. A narrow launch on one queue tells you whether the knowledge base, the routing and the quality bar are sound. Those are the things that break at scale, and they are cheap to fix at small volume.

Can agents work in our own systems?

Normally yes. Agents work in your CRM, helpdesk or order system with access scoped to what the role needs. Access provisioning is usually the longest lead item in launching a program, so it is worth starting early.

How do you handle peaks and seasonality?

Forecast the peak rather than react to it: we size the dedicated core for normal volume and plan shared or temporary capacity for the peak window, agreed in advance. Peaks handled by overtime on a dedicated team are how quality slips exactly when it matters most.

What reporting do we get?

Volume, answer and abandonment rates, handle time, resolution, quality scores and the contact-reason mix, on whatever cadence you will actually read. The contact-reason mix is the one most teams ignore and the one that tells you what to fix upstream.
