Salon & Spa Answering Service | Bookings and No-Shows
Salons, Spas & Med Spas
Every person qualified to answer your phone has their hands in someone's hair. That is not a staffing failure, it is the business model: the people who know the price of a balayage and whether Thursday at two is free are the same people who are mid-service and cannot stop. So the phone rings out, and the caller — who was ready to book, right then, with a card in their hand — dials the salon on the next street instead.
Global Empire Corporation answers the chair you cannot. Agents book into your calendar with the correct service duration attached, hold your cancellation policy without being drawn into an argument about it, work the waitlist when a slot opens, and route the questions that genuinely need a stylist to a stylist — instead of quoting a color correction sight unseen and committing you to two hours of work at ninety minutes of price.
- Calls answered while every stylist is mid-service, with bookings written straight into your calendar
- Correct service duration attached at booking, so a full head of highlights does not land in a thirty-minute slot
- Cancellations taken live and the waitlist worked immediately, while the slot can still be filled
- Your deposit and late-cancellation policy applied consistently, by someone who does not have to face the client at the front desk

An Empty Chair Cannot Be Sold Later
Salon inventory is time, and time is perishable in a way stock is not. A two o'clock that goes unfilled is not deferred revenue, it is revenue that never existed, and it takes the retail attachment and the rebooking that would have followed it. The economics are brutal precisely because the cost of the chair does not move: the stylist is there, the rent is paid, the lights are on, and the only variable is whether someone was on the other end of the phone when the call came in.
Late cancellations and no-shows do the same damage with more warning. Someone cancels at nine in the morning for an eleven o'clock, which is enough time to fill it — but only if a human hears the cancellation and immediately works a waitlist. Left to voicemail, the cancellation is discovered at eleven by a stylist standing next to an empty chair, and the client who would gladly have taken the slot never knew it was free.

What an Agent Actually Does on a Salon's Call
Booking to the Right Duration, Not the Default
The most expensive booking error in a salon is a service booked into a slot too short for it, because it runs late and every appointment behind it runs late too. Agents book from your service menu with your durations and buffers attached, ask the questions that change the length — current color, previous box dye, length and thickness, extensions — and put new color clients into the slot your salon actually reserves for them.
Holding the Cancellation Policy
Agents state your notice window and your deposit or fee terms as written, take the cancellation, and do not negotiate. This is one of the strongest arguments for an outside desk: an owner or a receptionist who has to look that client in the eye next month waives the fee, and a policy waived by default is not a policy. Genuine exceptions are flagged to you rather than decided on the phone.
Working the Waitlist the Moment a Slot Opens
A cancellation triggers outbound calls down your waitlist in the order you set — by service fit, stylist and how long they have waited — rather than a hopeful social media post. Same-day gaps get worked hardest, because that is the inventory that expires soonest, and a filled eleven o'clock is the difference between a cancellation costing nothing and costing the whole slot.
Knowing Which Questions Are Not Theirs
Can you fix what another salon did, will this lift my color, am I a candidate for this treatment. Agents never answer these. A color correction quoted over the phone is a promise your stylist has to keep at a price that no longer covers it. The agent captures photographs where you accept them, books the consultation, and says plainly that the stylist decides — which is what the client wants to hear anyway.
New Client Intake That Saves the First Visit
Where the client is coming from, what they had done last and when, what they want, whether they have a preferred stylist or need matching to one, and any allergy or sensitivity note your salon records. It reaches the stylist before the client walks in, so the consultation starts from information rather than from the beginning.
Gift Cards, Packages and Retail
High volume in December and around every holiday, low complexity, and completely disruptive to a stylist mid-foil. Agents answer from your published list, sell or reserve where your system allows it, confirm balances and expiry against your records, and take product inquiries as orders or holds instead of a message that surfaces after the client has bought it somewhere else.
Booking Into Your Calendar, Not Requesting a Callback
A salon desk that only takes messages has moved the problem rather than solved it: the client still is not booked, and now somebody has to ring them back between clients. The value is entirely in the agent completing the booking while the caller is still on the phone, which means live access to the real calendar — the one with today's gaps, this stylist's actual availability, and the buffer rules your salon runs on.
Agents work inside the platform you already use. Vagaro, Mindbody, Boulevard, Fresha, Phorest and Square Appointments are the ones we see most, and in each an agent can find genuine availability by service and stylist, create and amend bookings with the right duration, record the cancellation and its reason, add client notes, and check a gift card balance. Where your salon takes deposits, agents work to your rule on that too. What they do not do is override a stylist's blocked time, discount a service, or move a regular client's standing appointment without your say-so.

- Bookings created live in Vagaro, Mindbody, Boulevard, Fresha or Phorest, with your service durations and buffers
- Cancellations recorded with a reason, and the waitlist worked outbound while the slot is still sellable
- New client notes, allergy flags and stylist preference written to the client record before the visit
- Hours shaped to a salon's day: the busy morning, the evening after clients finish work, and Saturdays

Frequently asked questions
Will clients be able to tell it is not our front desk?
They should not be able to, and getting there is mostly preparation rather than acting. Agents greet with your salon's name, work from your service menu and your stylists' names, and see the same calendar your team sees, so the answers are specific rather than generic. What gives an outside desk away is never the voice — it is an agent who does not know that Tuesday is your colorist's day off, or who calls a service by the wrong name. That is why setup spends its time on your menu, your team and your rules.
We are terrified of a service being booked into the wrong slot length.
So are we, because it is the failure that actually costs money — a mis-booked color puts every appointment after it behind, and the client who waited forty minutes does not rebook. Durations and buffers come from your system, not from an agent's judgment, and the qualifying questions that change a duration are scripted per service. For the services where the length genuinely cannot be known on a call, the standard answer is a consultation, and that is what the agent books.
Can agents take deposits?
Where your booking platform supports it and you want it, yes — and for new color clients and long services it is the single most effective no-show control there is. The agent applies your rule as written: which services require one, how much, and what happens to it on a late cancellation. Where you would rather not take payment over the phone, the agent books and sends your deposit link instead. What does not happen is an agent deciding case by case whether tonight's caller has to pay one.
Our stylists rent their chairs and each runs their own book.
That is common and it is handled by treating each stylist as a separate set of rules rather than pretending the salon is one diary. Their own availability, their own services and durations, their own cancellation terms if they differ, and their own escalation preferences. Agents route a caller asking for a specific stylist to that stylist's book, and a caller with no preference according to whatever matching rule you set — by service, by availability, or by a rotation you choose.
What about a client who calls angry about their color?
The agent does not diagnose it, defend it, or offer a fix. Those calls go to whoever owns that decision in your salon, quickly and with the detail captured — what was done, when, by whom, what the client is unhappy about, and photographs where you accept them. An agent promising a free correction has committed hours of chair time; an agent dismissing a complaint has escalated it. Capturing it accurately and getting it in front of the right person is the whole job.
Do we need 24/7 coverage?
Almost certainly not, and we will tell you so rather than sell it. Salon calls cluster around opening, lunchtime, and the couple of hours after people leave work — plus Saturday morning, which for most salons is the heaviest booking window of the week. What usually pays is overflow during opening hours so the phone never rings out mid-service, evening coverage after you close, and the days you are shut. Look at when your missed calls actually happened last month and buy those hours.
We run injectables and medical treatments as well as beauty services.
Then the line is drawn harder, and it is drawn at the booking. Agents book consultations for anything medical, capture what the client is asking about, and do not discuss suitability, results, downtime, aftercare or anything a clinician decides — including when a client pushes, which they will. Beauty services run as normal alongside. Where your practice requires a consultation before a first medical booking, that rule is enforced by the desk rather than left to the client to discover.
What does a salon answering service cost?
It follows the shape of the program, not a per-call rate card. What moves it is your call volume, the hours you want covered, how many stylists and locations need their own books and rules, whether agents book live in your platform or capture and forward, whether outbound waitlist calling and deposit handling are included, and how deep the training on your service menu goes. Working a waitlist outbound after a cancellation is real work and it is also the part that most reliably pays for itself. We quote per salon.
